Minutes of the Squash Executive Committee Meeting held on 13th March 2023

1 - ATTENDANCE

Marc Shipley, Mandy Forster, Kevin Forster, Tracey Coats, Anita Hammond, Ian Davies

2 - APOLOGIES

3 - MINUTES OF THE PREVIOUS MEETING

• Minutes of the Meeting 13th February 2023 agreed.

4 - MATTERS ARISING/ACTION POINTS

4.1 - Action Point Update:

• 4.5 Cleaning quote from Baltica NE expensive, keep with ST cleaners but monitor, keep raising issues. Anita & Ian suggested volunteers could help out.

• 4.6 Marquee hire/fees – action ongoing

• 4.7 The Racket confirmed for an evening set for 50th Anniversary event on 17th June.

• 4.8 Bouncy castle hire - Executive raised concerns with there being a cricket match on

• 4.9 Discussion around raising court fees to £5, agreed once cricket confirm their fundraising to the club. Possibly from 27th March.

• AOB Ian Davies asked if it would be possible to organise an ex pro squash player to come and play an exhibition match, do a Q & A and a coaching workshop. Marc to investigate.

4.2 - Team Squash 2022/2023

• Marc reported on the teams performances as follows:

o Boldon 1 second in their league, promoted to Division 1

o Boldon 2 top of their league in Division 3, promoted to Division 2

o Boldon 3 currently 6th in Division 3, possibly in playoff

o Boldon 4 second top of their league in Division 5, possibly promoted to Division 4

4.3 - Dashboard

• Marc did a walkthrough of the Dashboard reporting membership renewal is 169 to date plus one more expected tonight (13th March). He advised the Committee that £1,056.00 has been transferred to the Club Treasurer for court bookings and £256.50 for squash memberships.

4.4 - Squash club maintenance/improvement

• Following Marc’s notification to the Committee regarding the Boldon Squash sign for the glass corridor, design and colour agreed, Kevin & Marc to erect sign when timber obtained.

• Marc and Kevin also raised a suggestion that signs for advertising squash, cricket and pool matches could be displayed in the bar on a TV screen . This is being tried out on court 3 for squash related news.

• Ladies changing room refurbishment to be scheduled at the end of the current season (April onwards). Ongoing.

• Cleaning – as outlined in the Action Points the Baltica NE quote was expensive.

• Action- staying with ST Cleaning

• Safeguarding matter has been dealt with.

4.5 - 50th Anniversary

• Ideas are being progressed.

• The date is confirmed as Saturday 17th June (although the cricket team is also playing at home that date).

• Catering to be discussed

• Format to be finalised.

4.6 - Club Executive Committee Feedback

• Bar prices are to increase.

• Junior Cricket subs will now be paid to the Cricket & Squash Club

• The new main doors are expected to be fitted week commencing 9th January 2023. Doors now to be fitted Thursday 16th March.

• The new squash sign is to be paid for by the Executive as part of our LWC money.

• JK to launch crowd fundraising for new nets.

5 - AOB

• Anita raised the issue of lights being left on in the corridor when there is no-one in the club, Kevin reported the price of/use of motion sensors about £60 each and we would need 4, plus fitting. No further action necessary as cost savings are being made through use of LED lighting throughout the squash area.

• Anita asked for the matter of (lack of) car parking to be raised again with the Club Executive, they don’t see it as an issue the same as we do.

• Club Championship - suggested start date is 17th April with the finals to be held on Sunday 30th April at 4pm. A new trophy needs to be purchased, this was agreed, Kevin to arrange.
