• Minutes of the Meeting 13th June 2022 agreed.
4 - Matters Arising/Action Points
4.1 - Action Point Update
• 4.5 Marc raised issue of wood chippings at Club Executive Meeting but no firm action arising therefore Kevin moved chippings to allow access to advertising hoarding.
• 4.5 Marc sent invoice to Vertu Motors but no payment received as yet, Mark F to chase up.
• 5 Mandy wrote formally on the Committee’s behalf to Neil Woodward following his resignation.
• 5 Mark F confirmed Vertu sponsored T Shirts received and selling well for squash funds. BEING CARRIED FORWARD
• 5 Kevin & Mandy – Updating Safeguarding Policies – ongoing.
4.2 - Northumbria Squash Summer Teams
• Marc reported that the Bandits have won 4 out of 5 games and the Lions have won 2 out of 5.
4.3 - Team Squash 2022/2023
• Marc explained that all members have been contacted via email regarding joining the Winter Leagues as numbers are required by end of July, and he is hoping to get sufficient interest for a 4th team.
o Marc reported that 14 responses have been received to date and he will be chasing up existing team players to confirm participation in the new season.
o The Fixture List is expected by August, and there will be 10 teams per League.
o ACTION – Marc to discuss team shirt sponsorship with Colin Dumble (CDTiling).
4.4 - Dashboard
• Marc did a walkthrough of the Dashboard and advised the Committee that £786.75 has been transferred to the Club Treasurer for court bookings and £114.95 for squash memberships.
o Squash bank account healthy.
o Membership now 173.
4.5 - Squash club maintenance/improvement
• The matter of the annual court wall cleaning in August following the end of the summer league fixtures was discussed and Marc proposed asking members to volunteer to help Kevin this year.
o ACTION Marc to issue email to members seeking volunteers, names to be passed to Kevin.
• Vertu Motors advertising hoardings now in place, noticed by club members.
• Cleaning service is sadly lacking in Men’s showers and Kevin reported that the tiles are currently lifting off the floor, plus the trap keeps clogging up.
o Kevin suggested that the floor should be levelled and a rubberised floor be put in.
o ACTION – Kevin to progress.
o ACTION – Kevin to ask Colin Dumble about replacement waste pipes and possible redirection to prevent future trap problems.
• Kevin showed the Committee panelling samples that may be suitable for the Ladies Changing Room refurbishment, and it was agreed to opt for the cheaper panelling but postpone purchase and refurbishment until after the Men’s Changing room problems have been resolved as it takes priority.
4.6 - Club Executive Committee Feedback
• Marc reported from last Executive Meeting held on 4th July: o Club Current Account £2,700.00
o Club Deposit Account £13,900.00
• 2021 Club Accounts received but Marc has identified discrepancies in the reporting of the Squash financial information that he is to bring to Dave Gilbert’s attention.
• The Club AGM is possibly scheduled for Wednesday 3rd August.
• The function room and foyer were painted prior to Bryan Thubron’s funeral.
• The Cricket section is doing okay particularly the Under9’s team.
• Next Executive Meeting is either 1st or 8th August.
5 - AOB
• Mick raised the matter of the membership fees for 2022/2023 and after some discussion Marc proposed that the fees remain the same as the previous year.
o Agreed unanimously by the Committee.
• Mandy suggested to the Committee that the Squash AGM should in future be scheduled for September, following the end of the Squash Financial Year in August and outlined a draft AGM Agenda template and reporting structure to be issued prior to each AGM.
o Agreed by the Committee.
